Sections of the Library and their functions

Acquisition Section

The Acquisition Section is responsible for the development of the library's collection. It receives recommendations for books and other information resources from faculty members, officers, Officer Trainees, participants of various training programmes, and library users. The section evaluates requests, places orders, coordinates with vendors and publishers, processes invoices, and ensures the timely acquisition of books, reports, and other library materials.

Technical Processing Section

The Technical Processing Section organizes newly acquired library materials for use. Its major functions include accessioning, classification, cataloguing, subject indexing, spine labelling, RFID tagging, barcoding, ownership stamping, book covering, and other physical processing. After completing all technical work, materials are prepared and transferred to the library shelves for circulation.

Journals and Periodicals Section

This section manages the subscription and maintenance of print journals, magazines, newspapers, and other serial publications. It is responsible for renewal of subscriptions, receipt and verification of issues, claiming missing issues, maintaining serial records, displaying current issues, binding back volumes, and providing access to users for current awareness and research.

E-Resources Section

The E-Resources Section manages the library's digital information resources. Its responsibilities include identifying and evaluating electronic resources, conducting product trials, negotiating licences, processing subscriptions, configuring and providing online and remote access, maintaining access credentials, resolving technical and authentication issues, monitoring usage statistics, and coordinating with publishers and vendors. The section also supports users in accessing databases, e-journals, e-books, and other online resources.

Audio-Visual Section

The Audio-Visual Section manages the library's non-print collections, including CDs, DVDs, photographs, documentaries, training films, multimedia resources, and recordings of Academy activities. The section undertakes classification, cataloguing, processing, preservation, shelving, and retrieval of audio-visual materials, ensuring their long-term accessibility.

Documentation Section

The Documentation Section provides information support through the preparation and dissemination of bibliographies, subject bibliographies, reading lists, new arrivals lists, book displays, thematic resource guides, documentation on important topics, and other current awareness services. It also compiles information required for institutional publications and library reports.

Reference and User Assistance Section

The Reference and User Assistance Section provides information and research support to library users. It assists users in locating print and electronic resources, answering reference queries, conducting literature searches, guiding users in the effective use of the Online Public Access Catalogue (OPAC) and digital resources, facilitating inter-library loan and document delivery services, and conducting library orientation and user awareness programmes.

Circulation Section

The Circulation Section manages the lending and return of library materials. Its functions include membership registration, issue and return of books, renewal of loans, reservation of books, overdue management, collection of fines where applicable, shelf management, stock verification support, RFID-based circulation operations, and providing assistance at the circulation desk. The section ensures efficient access to library resources while maintaining accurate circulation records.

Reprography Section

The section facilitates the reproduction of library materials in accordance with copyright regulations and institutional policies. Its functions include photocopying of permissible library documents, scanning.
